Job Details:

This position is responsible for the accurate and complete collection and capture of patient registration data for inpatients, observation, and day surgery patients. Reviews and confirms that valid insurance coverage exists for each admission and collects other important demographic and statistical information on all patients. Updates all data in the Siemens Invision system. Works closely with all clinical and administrative staff to ensure smooth patient flow.

PRINCIPAL DUTIES ANDESSENTIAL FUNCTIONS:

  • Provides excellent customer service to all incoming patients. Visits patients at bedside to obtain and verify complete registration information.
  • Follows policy and procedure guidelines to ensure accurate Patient Identification, the number one National Patient Safety Goal, for all patients processed through Admitting.
  • Collects/verifies all demographic and insurance information with incoming patients and collects statistical data regarding Language, Ethnicity, Race,and Education as required by the Commonwealth of Massachusetts and other State agencies.
  • Reviews and explains the admission consent forms with the patient and obtains appropriate signatures.
  • Verifies insurance via the NEHEN and WebMD databases. Insuresthat coverage exists on the date of service. Updates all Invision data fields and selects the correct insurance plan code pertaining to the patients coverage.
  • Verifies the primary care physician and the referring physician with the patient and enters this data into the correct Invision fields. Cross-references this data with the NEHEN system and reports any discrepancies.
  • Refers cases to the Financial Coordinator for resolution if the insurance fails to verify.
  • Completes the Medicare Secondary Payer questionnaire for all Medicare patients to determine if Medicare is the correct payer for the admission.
  • Discusses Health Care Proxy with each patient as mandated by the Federal Government. Advises patients of their right to a health care proxy.
  • Serves as a customer service representative for Tufts Medical Center, welcoming patients in a professional and caring manner, and answering all questions appropriate for this position.
  • Coordinates and prepares death certificates according to regulations set forth by the Commonwealth of Massachusetts public health statutes. Works closely with physicians and house staff to ensure compliance with state regulations.
  • Accepts bookings for incoming patients from all sources i.e. Emergency Department, Other Hospitals, Physician Offices, etc. Extracts all pertinent information, including clinical data, in order to process the patients admission for the appropriate setting.
  • Processes patients reporting to the operating room for surgery. Ensures that all paperwork is in proper order prior to surgery.
  • Collects large co-payments from patients, logs the payment, and provides a receipt.
  • Ensures that the ADT Center is informed of any conflicts within the operating room schedule that may affect bed assignment.
  • Contributes to efficient patient flow through collaboration with clinical staff, continued communication with the ADT Center Bed Coordinator, and utilizing RapidView (our automated bedboard system).
  • Maintains collaborative team relationships with peers and colleagues in orderto effectively contribute to the working groups achievement of goals, and to help foster a positive work environment.
  • Performs other similar and related duties as required or directed.
Job Qualifications:

JOB KNOWLEDGE AND SKILLS:

  • Strong customer service skills including excellent interpersonal and telephone skills. High degree of tact is necessary due to frequent interaction with patients, physicians, and insurance companies.
  • Thorough knowledge and understanding of health care delivery systems.
  • Demonstrated organizational skills and attention to detail. Ability to independently prioritize work and to be extremely flexible in work assignments.
  • Computer literate. Ability to perform accurate data entry.
  • Knowledge of medical terminology required.
  • Basic knowledge of payer regulations and managed care rules.
  • Ability to work independently with little supervision.

EDUCATION:

  • High school diploma required,
  • Associates Degree preferred but not required

EXPERIENCE:

  • Three to four years experience in insurance, managed care, private physicians office practice or hospital registration/Admitting setting.
  • An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Works in a fast-paced, high pressure office environment. There will be significant pressure to meet or exceed goals and expectations.
  • Work requires frequent walking to process patients at bedside, typing/computer keying, and exposure to sick patients.
  • Constant contact with patients, internal and external physicians, nursing, insurance companies, and Tufts Medical Center staff.
