GENERAL DESCRIPTION:Under the general supervision of the Director of Quality, the Policy Administrator is responsible for implementing and managing a comprehensive process for system policy administration for UMass Memorial Health - Harrington. This role ensures that all system and clinical policies are reviewed by the department head ensuring reviews are on time and modifications have been made as needed and then presented at both the local and system level policy meetings.

  • Responsible for administering the review/revision of each and every policy ensuring it follows the policy approval process.
  • Reviews each new or revised policy to ensure it is in conformance with Joint Commission standards and is consistent with other current UMMH policies.
  • Responsible for reviewing each policy for content, terminology, grammar and spelling. Makes editing recommendations to originators ensuring concise, user-pertinent, and accurate information.
  • Has a broad understanding of hospital departments and functions, ensuring that policy drafts have had the needed internal reviews and input.
  • Works with UMMH Office of the General Counsel, CMO, Medical Staff Executive Committee, Risk Management and Nursing as needed to ensure policy content is sound and accurate.
  • Makes recommendations on whether a policy should be departmental, hospital, and/or a system-wide policy.
  • Assists author with policy text to achieve consistency in content with other similar or clinically connected policies.
  • Coordinates and moderates the monthly Policy Committee meetings. Compiles an agenda, scheduling presenters for each policy, and provides Policy Committee members with documents to review in advance of each meeting.
  • Acts as a subject-matter expert to the committee, providing solicited input to the committee on regulatory requirements and consistency with related policies as appropriate.
  • At the Policy Committee meetings, makes notations on each policy for the recommended edits or suggestions.
  • Takes meeting minutes and maintains documentation on the status of each outstanding policy that has passed through Policy Committee until finalized and distributed.
  • Obtains final signatures and ensures original policies are retained in the Office of the General Counsel.
  • Maintains and implements the policy distribution process. Posts updated policies and table of contents to the HUB, prepares policy announcements to UMMH-Harrington departments and staff, and distributes hard copies according to protocol.
  • Responsible for maintaining current local and system-wide policy manuals in coordination with the hospital's emergency management department.
  • Maintains the portion of the HUB designated for UMass Memorial Health- Harrington Policies
  • Active participant in all meetings pertaining to policy and policy development.
  • Prepares provider focused and ongoing professional practice evaluations (FPPE/OPPE) for completion by the section chief.
  • Maintains and organizes FPPE/OPPE documents within individual provider files.
  • Records, prepares, and distributes meeting minutes.
  • Schedules meetings and prepares meeting agendas and presentations.
  • Compiles data and prepares reports for the Quality department.
  • Logs and takes initial action on patient grievances.
  • Supports Quality Department and the Director of Quality as required.

WORK EXPERIENCE REQUIREMENTS

  • Must be proficient in the use of Adobe and MS Office software (Outlook, Word, Excel, PowerPoint)
  • Minimum of 5 years of healthcare experience preferred.

EDUCATION REQUIREMENTS

  • High school diploma or equivalent required
