Position

We are seeking an enthusiastic, self-motivated Executive Assistant to join our professional support staff as an integral member of our U.S. Distribution Leadership support team. The role will primarily focus on supporting our U.S. Distribution Pillar leaders.

This position requires the ability to work well under pressure, manage and gatekeep complex calendars, and multitask. The ideal candidate must be a self-starter who is able to work independently, maintain confidentiality with full disclosure, have strong interpersonal, written, and verbal skills, and possess excellent time management. The environment is dynamic and to be successful, the candidate must be adaptive and have a positive can-do attitude.

Responsibilities

  • Provide efficient calendar management and gatekeeping across multiple time zones
  • Provide executive support in partnership with the with fellow senior executive support and business managers
  • Collaboratively work across the organization in a team environment
  • Demonstrate sound decision making and strategic thinking
  • Understand team priorities and proactively problem solve any issues in an independent manner where applicable
  • Design and implement procedures and processes to create leverage
  • Adapt procedures, processes, and techniques to complete assignments
  • Act as "strategic enabler" to help plan and execute a wide variety of tasks and projects, including but not limited to:
    • Plan and coordinate travel arrangements, including preparing travel itineraries and solving logistical issues
    • Assist in preparing meeting agendas, presentations, and organizing topics
    • Prepare and reconcile monthly expense reports
    • Write and send communications and reports to internal and external customers
    • Plan and execute team events

Required Qualifications

  • 3-5 years of asset management industry experience
  • Advanced knowledge of Microsoft Outlook (calendar and email management)
  • Proficient knowledge of Microsoft Office programs such as PowerPoint, Word, and Excel
  • Natural curiosity and desire to proactively drive team level success

PREFERRED QUALIFICATIONS:

  • A BS/BA degree or advanced degree
  • 3-5 years of experience supporting a C-level executive
  • Excellent verbal, written, and interpersonal communication skills
  • Detail-oriented with strong organizational, multi-tasking, and prioritizing skills
  • Ability to work under pressure in a fast-paced deadline driven environment
  • Independent thinker, team player, entrepreneurial spirit
  • Reliable, professional attitude and willingness to carry out responsibilities in a cooperative work setting
  • Strong people and soft skills, and a proven record of building relationships
  • Familiar with Asset Management products and related systems
