What you will do:

The primary role of the Document Control Coordinator is to ensure the delivery of drawings to the manufacturing floor and communicate and update drawing packages as changes occur.

How you will do it

  • Prepare documentation/records for production, catalogue and access as necessary.

  • Manage and maintain records and information, ensuring that obsolete versions of controlled documents are removed and archived.

  • Assist managers and staff with inquiries (onsite, phone and online queries).

  • Work with staff in developing and implementing special projects.

  • Assist with the management of production, distribution, and version control of controlled documents in compliance with the applicable written procedures.

  • Provide general administration support to the Manufacturing Engineering Department.

  • Provide appropriate assistance and guidance to staff to ensure that the required documents are produced in an efficient manner and in the standard format.

  • Manage the review of controlled documents to ensure that they are approved and issued in a timely manner.

  • Recommend actions and strategies in order to improve the management of controlled documents and achieved data.

  • Ensure that the document management system is well understood and given priority at all levels within the organization. Instruct management and staff in the use of the file storage system where applicable.

  • Foster a culture of compliance with formal procedures for production and control documents and an understanding of version control and document and sample archiving. Ensure that document procedures are being adhered to by team members.

  • Assist in developing document control procedures. Implement and manage project document control and document management processes and systems.

  • Advocate best practices and drive improvement of document management processes and procedures.

  • Ensure that all received electronic media are filed appropriately within the document management system.

  • Develop filing error tracking system. Index and maintain hardcopy information.

What we look for

  • Post-Secondary Diploma in Information/Document Management is preferred.

  • Minimum one year of experience as a Document Controller/Archivist.

  • Excellent research skills.

  • Familiarity with a range of electronic systems including MS Word, MS Excel and Adobe.

  • Knowledge of manual or electronic document control systems is an asset.

  • Excellent communication skills both verbal and written.

  • General understanding of computerized cataloguing systems.

  • Accuracy and attention to detail while working under tight deadlines.

  • Good interpersonal and customer service skills.

  • Good organizational, time management, and prioritization skills.

  • Strong problem identification and problem resolution skills.

  • Ability to interpret and implement company policies and procedures.

  • Knowledge of Autodesk Inventor an asset.
