OVERALL RESPONSIBILITY

Under minimal supervision, the Operations Coordinator performs complex and diverse duties while providing comprehensive administrative support to Dr. Karestan Koenen, a Broad Institute member and Director of the Biology of Trauma Initiative (BTI) and professor of psychiatric epidemiology at the Harvard T.H. Chan School of Public Health (HSPH). The Coordinator will also provide research and operations support to Dr. Archana Basu, Assistant Professor, Child and Adolescent Psychiatry, in the Division of Child and Adolescent Psychiatry at Massachusetts General Hospital (MGH), a key BTI collaborator and site PI, leading the development of trauma informed interventions for children and families. The Coordinator will report directly to BTI's Project Manager at the Broad Institute of MIT and Harvard.


About the Biology of Trauma Initiative (BTI)

The guiding principle of BTI is that understanding more about the biological mechanisms of trauma "getting under the skin" will enable us to create better and more targeted interventions for individuals seeking treatment for psychological and physiological illnesses triggered by traumatic experiences. Through our work, we seek to find: (1) biological markers of trauma in cells and organ systems that reveal how trauma is encoded in the body, pointing to potential targets for future therapeutic development; (2) diagnostic biomarkers that provide evidence of trauma in the body and which change after treatment/interventions; (3) biomarkers that allow stratification of patients into different treatment groups based on the biological changes that have occurred, independent of the type or duration of the traumatic exposure; (4) predictive biomarkers that indicate the likelihood of future risk to health, allowing early intervention to prevent onset of further health conditions.


CHARACTERISTIC DUTIES

  • Scheduling - Schedules appointments and group meetings in coordination with internal and external parties. Locates venues for meetings, provides directions, and meeting materials. May be asked to maintain additional calendars for group projects, including tracking the leave of other group members. Sets up conference calls and ensures the distribution of meeting agendas ahead of time.

  • Meeting and Event Coordination - Plans and coordinates meetings, seminars, conferences, consortiums and special events related to BTI. Coordinates with external sources to accomplish activities of limited complexity, such as obtaining bids from vendors; selecting menus and arranging for room setup for on-site and off-site meetings; Coordinates with Facilities and Communications/Events to make sure appropriate equipment/technology have been set up.

  • IRB Coordination - Assists with IRB submissions related to research activities at MGH.Tracks protocol submissions and amendments along with regulatory/compliance activities such as auditing consent forms.

  • Data Entry, Processing & Analysis - Cleans and organizes data for analysis, assists with programming study questionnaires in REDCap (research electronic data capture) or similar software, compiles data reports.

  • Financial Operations - Liaises with project managers to track spending on different budget lines. Responsible for handling team reimbursements. Understands administrative policies and procedures, including catering guidelines, and how to purchase from external.

  • Sponsored Research - Works in collaboration with the Sponsored Research Team to compile data and resources needed for grant applications and maintenance. Prepares, proofreads and submits technical reports and grant related material or manuscripts. Maintains biographical sketch/CV for Dr. Koenen and other staff as directed.

  • General Coordination - Coordinates with other administrative and operational support staff within their own area or throughout the organization to accomplish routine activities, such as ordering supplies, obtaining approvals, arranging for document duplication and equipment repair.

  • Training - Increases knowledge throughout the year by participating in offered training and tutorials at both the Broad Institute and MGH.

  • Travel Coordination - Assists with travel arrangements for the BTI leadership team and visitors. Maintains files on preferences, past itineraries, and other travel related materials.

  • Other Responsibilities - Performs other duties as assigned by the manager. Provides support to other team members. Participates in on-boarding and training processes for new staff as assigned.


QUALIFICATIONS

  • Bachelor's degree required

  • Excellent written and verbal communication skills, including the ability to communicate with non-native English speakers

  • Highly organized with a strong attention to detail and accuracy

  • Must be able to work independently and take initiative

  • Ability to interact effectively with all levels of Institute staff; must be a team player

  • Strong computer skills with knowledge of Microsoft Office (Word, Excel, PowerPoint), Google Suite and comfortable learning new software and technology
